Executive Administrative Assistant

As HCU’s Executive Administrative Assistant, you will act as a vital, proactive partner to leadership, often requiring strong organizational, communication, and technical skills.

This position will provide direct administrative support for the CEO and Board of Directors. The work performed will be varied and complex and involve highly confidential administrative duties and communications support.

This is a fast-paced, high-visibility role where you will improve efficiency by handling day-to-day tasks and freeing executive leadership up for strategic decision-making. You’ll also have the opportunity to contribute across departments, manage events, and support core business functions. Responsibilities

  • Provides a variety of administrative activities necessary to assist the CEO including research, report preparation, informational request, and clerical support.
  • Maintains credit union organization charts and employee directory.
  • Assists the CEO with board material preparation, record and distribute board attendance and minutes.
  • Assists in scheduling and/or arranging appointments, meetings, business trips, etc., for the CEO and board members. Maintain the calendar of events and schedules for the CEO and Board.
  • Maintains and updates administrative records, policies, procedures, and reports.
  • Coordinates and assists with preparation for all meeting involving the CEO.
  • Maintains Board Portal to disseminate materials for board meetings, including agendas, minutes, supporting documentation and committee reports.
  • Maintains the confidentiality of sensitive organizational, employee, Board, and member information while exercising sound judgement and discretion in all communications.
  • Composes and processes letters for officers of the credit union. Ensure accuracy of work.
  • Provides flexible administrative support to other departments as needed.
  • Performs other duties as requested and assigned by the CEO.

  • Relationship Management: Builds productive working relationships across departments, with executive leadership, the Board of Directors, and external partners.

Experience:

  • Associate’s Degree in Business Administration, Communications, or related field preferred. Equivalent combinations of education and experience will be considered.
  • 3+ years related experience in an executive administrative support position required
  • Skilled in typing, effective composition skills in developing written communication, strong proofreading skills, and the ability to work independently and prioritize is required
  • Exceptional organizational skills with a keen eye for detail and the ability to manage multiple priorities in a dynamic environment.
  • Demonstrated ability to exercise sound judgement and maintain the highest level of confidentiality and professionalism.
  • Comfortable interacting with all levels of staff, including executive leadership and Board of Directors.
  • Demonstrated proficiency with Microsoft Office, Excel, PowerPoint, SharePoint, Outlook Calendar management and Teams.

Physical Requirements:

  • Ability to stand and/or remain stationary for extended periods while performing administrative and computer-based tasks.
  • Ability to communicate effectively in person, by phone, video conference and in writing.
  • Ability to operate standard office equipment, including computers, printers, copiers, scanners, and other office technology.
  • Ability to occasionally lift, carry, or move office materials and supplies weighing up to 25 pounds.
  • Ability to maintain visual acuity for extended periods while reviewing documents, spreadsheets, and electronic communications.
